Microsoft Power Automate workflows

Microsoft Power Automate Workflows

Automate approvals, documents and system integrations across Microsoft 365 and beyond.

Power Automate is Microsoft's workflow automation service. Cloud flows connect apps and services, desktop flows automate legacy applications through robotic process automation (RPA), and AI Builder reads documents. We design, build and support flows that are reliable, secure and easy to maintain.

What we cover

  • Cloud flows and approvals
  • Desktop flows (RPA)
  • Connectors and custom connectors
  • Document processing with AI Builder
  • Error handling and monitoring
  • Solutions and ALM

What Is Microsoft Power Automate?

Power Automate builds workflows that run when something happens, on a schedule or when a person starts them. Cloud flows use more than a thousand connectors to work with Microsoft 365, Dataverse, SQL, Salesforce, SAP and many other services, and built-in approvals route requests through Teams and Outlook. Custom connectors wrap your own APIs so flows can use them like any other service.

Desktop flows automate work in Windows applications and websites that have no API, using Power Automate for desktop; they can run attended alongside a user or unattended on a machine. AI Builder adds document processing and text classification, and process mining helps find where automation will pay off. Like the rest of Power Platform, flows are governed with environments, DLP policies and solutions.

When Power Automate is a good fit

  • Your processes run through Microsoft 365, Teams, SharePoint or Dataverse.
  • People copy data between systems by hand.
  • Approvals happen over email and are hard to track.
  • Older desktop applications have no API but still need automating.

What We Automate With Power Automate

Common flows we build for business teams.

  • Approvals

Purchase, leave, content and change approvals in Teams.

  • Document handling

Extract invoice or form data and file documents.

  • System sync

Keep CRM, ERP and SharePoint data in step.

  • Email processing

Triage shared mailboxes and create records.

  • Legacy RPA

Automate data entry in desktop applications.

  • Notifications

Alerts and reminders in Teams and email.

  • Onboarding

Accounts, tasks and documents for new starters.

  • Reporting runs

Scheduled data refreshes and report distribution.

How Power Automate Fits Your Stack

Power Automate is the process engine of Microsoft Power Platform. It works with data in Dataverse and SharePoint, runs actions for Copilot Studio agents and Power Apps, and sends approvals through Microsoft 365.

For teams that prefer open-source or self-hosted automation, or need heavy custom code, n8n can be a better fit. We help you choose.

Implementation Considerations

  • Run production flows under service accounts, not personal accounts.
  • Add error handling with scopes and run-after settings, and alert on failures.
  • Use connection references and environment variables for clean deployments.
  • Check premium connector licensing before designing a flow.
  • Prefer APIs over RPA; use desktop flows only where no API exists.
  • Document each flow's owner and purpose.

How We Work With Power Automate

The same four steps we use across our technology work, adapted to your scope.

Goals, users, constraints and the systems Power Automate must work with.

  2. Select

Confirm Power Automate is the right fit and agree the architecture and scope.

  3. Build and integrate

Deliver in short iterations with testing, reviews and documentation.

  4. Operate and improve

Monitor, support and improve the solution as your needs change.

Power Automate Questions, Answered

What is Power Automate?

Microsoft's service for automating workflows across apps and services, including approvals, integrations and desktop automation.

What is the difference between cloud flows and desktop flows?

Cloud flows connect services through connectors. Desktop flows automate Windows applications and websites through the user interface.

Do we need premium licences?

Standard connectors are included with many Microsoft 365 plans. Premium connectors, custom connectors and unattended RPA need premium licences.

Can Power Automate call our own API?

Yes, through a custom connector or HTTP actions with secure authentication.

What happens when a flow fails?

We add error handling, retries and alerts so failures are visible and recoverable.

Power Automate or n8n?

Power Automate suits Microsoft-centred organisations. n8n suits self-hosted or code-heavy automation. Some organisations use both.
