We are the data controller (data fiduciary) for the personal data described in this policy.

2. What this policy covers

This policy explains what personal data we collect when you visit prominent.tech or contact us through it, why we use it, who we share it with, how long we keep it and the rights you have. It does not cover data we process on behalf of our clients under a separate services agreement.

3. Information we collect

Information you give us

  • Project and contact enquiries (the “Start Your AI Journey”, Contact and Book Consultation forms): your name, business email address, company name, phone number (optional), the service you are interested in, your project requirements or message, and your confirmation that you have read this Privacy Policy.
  • Updates sign-up (website footer): your email address, if you choose to subscribe to updates from us.
  • Emails and calls: anything you send us directly at biz@prominent.tech or by phone.

Information collected automatically

  • Form submission details: when you submit a form we record the page you submitted it from, the button or link that brought you to the form (for example “Discuss Your AI Idea”), the date and time, your IP address and your browser type. We use these to handle your enquiry and to protect our forms from spam and abuse.
  • Security checks: our forms use Cloudflare Turnstile to check that a real person is submitting them. Turnstile processes technical signals from your browser and device (such as your IP address and browser characteristics) for this purpose only.
  • Security logs: our website and hosting provider log technical information such as IP addresses, failed login attempts and requested pages, to keep the site secure and working.

We do not use analytics, advertising or tracking tools, and we do not sell personal data.

4. How and why we use your information

  • To reply to your enquiry, discuss your project, prepare proposals or estimates, and arrange consultations.
  • To provide our services if you become a client.
  • To send you updates, if you have subscribed. You can unsubscribe at any time.
  • To protect our website, forms and systems from spam, fraud and attacks.
  • To meet our legal, accounting and regulatory obligations.

We do not make decisions about you based solely on automated processing.

5. Legal basis

Under India’s Digital Personal Data Protection Act, 2023, we process your data based on your consent (which you give when you submit a form) and for legitimate uses permitted by the Act. If the EU or UK General Data Protection Regulation applies to you, our legal bases are: your consent; taking steps at your request before entering into a contract; our legitimate interests in responding to business enquiries and keeping our website secure; and compliance with legal obligations.

6. Who we share it with

We share personal data only with service providers who help us run this website and our business, and only as needed:

  • Website hosting: our web hosting provider, which hosts our website and its database.
  • Brevo (Sendinblue SAS, France): delivers the email notifications our website sends when you submit a form.
  • Microsoft 365 (Microsoft Corporation): our business email, where enquiry emails are received.
  • Cloudflare, Inc.: Turnstile bot protection on our forms.
  • Google LLC: Google Maps, embedded on our contact and location pages, and Google Fonts, used to display text. When a page with a map or these fonts loads, your browser connects to Google and shares your IP address with it.

Links to LinkedIn, YouTube and other websites only share data with those services if you click them; their own privacy policies then apply. We may also disclose data if required by law or to protect our legal rights.

7. International transfers

We are based in India. Some of our service providers process data in other countries, including the European Union and the United States. Where required, these transfers are protected by appropriate safeguards such as the European Commission’s Standard Contractual Clauses.

8. Cookies

We do not use advertising or analytics cookies. Our website uses only cookies that are necessary for it to work: for example, WordPress cookies for our staff when they log in, and cookies or similar technologies set by Cloudflare Turnstile to verify form submissions. Embedded Google Maps may set Google cookies when the map loads. You can block or delete cookies in your browser settings; some parts of the site, such as the forms, may then not work.

9. How long we keep your data

  • Website enquiries: stored in our website for up to 24 months, then deleted automatically. Copies in our email system are kept only as long as needed for the enquiry, any resulting project and our legal record-keeping obligations.
  • Client records: for the duration of our engagement and as required by law afterwards.
  • Updates sign-up: until you unsubscribe.
  • Security logs: for as long as needed for security purposes, normally no longer than 12 months.

10. How we protect your data

We use reasonable technical and organisational measures to protect personal data. These include encrypted connections (HTTPS), restricted administrator access with two-factor authentication, login attempt limits, bot protection on forms, and access to stored enquiries limited to authorised staff. No method of transmission or storage is completely secure, but we work to protect your information.

11. Your rights

Depending on the law that applies to you, you have the right to:

  • access the personal data we hold about you;
  • correct inaccurate or incomplete data;
  • ask us to delete your data;
  • withdraw your consent at any time (this does not affect processing before you withdrew it);
  • object to or ask us to restrict certain processing;
  • receive your data in a portable format;
  • nominate another person to exercise your rights on your behalf (India).

To exercise your rights, email hetal@prominent.tech. We will respond within the time required by law, normally within 30 days. You also have the right to complain to a data protection authority: in India, the Data Protection Board of India; in the EU or UK, your local supervisory authority (in the UK, the Information Commissioner’s Office).

Grievance Officer: Hetalkumar K, Founder & Partner, Prominent AI Services LLP. Email: hetal@prominent.tech · Phone: +91 96974 96976.

12. Children

Our website and services are intended for businesses and are not directed at children under 18. We do not knowingly collect personal data from children.

13. Changes to this policy

We may update this policy from time to time. The “Last updated” date at the top shows when it was last changed. Significant changes will be highlighted on this page.
